Making Tax Digital for Income Tax (MTD ITSA) changes the way most sole traders and landlords manage tax records. From 6 April 2026, businesses with qualifying income over £50,000 must keep digital records and submit quarterly updates using software that HMRC recognises as compatible. That makes the choice of cloud accounting software one of the most practical decisions owner-managed SMEs will make this year.

This guide covers the options available to UK SMEs, the implementation choices that matter, and the IT considerations that most business owners overlook when selecting accounting software.

What Is MTD for Income Tax and Who Does It Affect?

MTD for Income Tax replaces the annual Self Assessment tax return for those in scope with quarterly digital submissions and a year-end Final Declaration. The mandate starts on 6 April 2026 for sole traders and landlords whose gross income from self-employment and/or property exceeds £50,000 in the 2024 to 2025 tax year.

From 6 April 2028, the threshold drops to £30,000, capturing more businesses still.

The requirement applies regardless of whether you currently use spreadsheets, a desktop accounting package, or nothing more than a filing cabinet. HMRC does not prescribe a particular vendor, but it does require the software you choose to be recognised through its HMRC Recognition process.

What Types of MTD-Compatible Software Exist?

HMRC recognises two categories of software for MTD ITSA:

Software that creates digital records. These platforms let you enter income and expenses directly, link to business bank accounts, scan receipts, and send quarterly updates to HMRC without any bridge. Xero, QuickBooks Online, Sage Accounting, FreeAgent, and FreshBooks all operate in this category.

Bridging software. If you want to keep records in spreadsheets or legacy desktop software, bridging tools connect your existing records to HMRC's digital gateway. VT Software's TaxCalc and Sage's MTD bridging tools are commonly used. HMRC's guidance notes that you should only use one bridging product per submission type — you cannot split quarterly updates across two different bridging tools for the same income stream.

Which Cloud Accounting Platforms Should UK SMEs Consider?

The mainstream options that dominate the UK SME market each have different strengths. The table below shows starting prices as published by the vendors (2026 pricing).

Platform

Starting price (UK)

Best suited to

MTD Ready

Xero

From £13/month (Starter)

Growing SMEs needing integrations

Yes

QuickBooks Online

From £9/month (Simple Start)

Small businesses wanting automation

Sage Accounting

From £16/month

UK SMEs wanting local support

FreeAgent

From £13/month

Freelancers and contractors

Zoho Books

The features that matter most go beyond price. Consider whether the platform supports all your income types — self-employment, property letting, and partnership income can each need separate handling. If you run multiple income streams, test whether one platform covers all of them or whether you need separate tools.

HMRC also recommends checking whether a platform includes HMRC Assist, which provides automated feedback on your tax return before submission, flagging errors against the data HMRC holds.

What IT Integration Issues Do Business Owners Overlook?

Choosing cloud accounting software is not purely an accounts decision. The platform sits inside your wider IT environment, and integration choices have downstream implications.

Authentication and Microsoft 365 alignment

Most SMEs use Microsoft 365 for email, document storage, and collaboration. The cloud accounting platform you choose will need to integrate with your identity management. If your team uses Microsoft Entra ID (formerly Azure AD) for single sign-on, verify whether the accounting platform supports SSO through your identity provider. Managing separate password lists for each platform increases risk and creates onboard-offboard friction.

Data sharing and API access

Platforms that expose API access — FreeAgent, Xero, and QuickBooks Online all do — enable integrations with other business tools. This matters if you use project management, CRM, or HR software that needs to sync financial data. Check whether the API is included on the plan you need or reserved for higher tiers.

Device access and BYOD considerations

Cloud accounting is designed for multi-device access — desktop, tablet, and mobile. This is convenient, but it means your security model needs to cover every device type where employees log in. If staff use personal devices, those devices must meet the same device health and security standards as company-issued hardware, particularly around device encryption, screen locks, and remote wipe capability.

Backup and data independence

Your accounting data is financial truth. Microsoft 365 backup does not back up data stored inside third-party cloud platforms like Xero or QuickBooks — those platforms have their own data retention and backup policies. Ensure your accounting software vendor's data retention terms are clear, and consider whether you need an independent backup of critical financial data that is stored outside the platform vendor's own ecosystem.

How to Test and Evaluate Your Shortlist

Give your shortlisted platforms a proper trial before committing:

  1. Import at least three months of historical transaction data where possible.

  2. Run a mock quarterly submission to HMRC using the platform's sandbox environment. Not all platforms offer a sandbox, but those that do make it worth using.

  3. Check how joiners and leavers are handled — can you provision and revoke access quickly through your existing identity provider?

  4. Verify that the platform supports the income types you actually have. A sole trader with simple income may find FreeAgent more suitable than a landlord managing five rental properties.

How Long Does Implementation Take?

A straightforward MTD software migration typically takes one to two weeks for a small business with clean data. Factor in additional time if:

  • Historical data is poorly organised and needs cleaning before import.

  • You are switching from a desktop product and need to re-enter records.

  • Multiple team members need training on the new platform.

  • Integration with other business systems (CRM, project management, payroll) is required.

The cost of two weeks' disruption is usually less than the cost of filing penalties or getting the quarterly submissions wrong. Starting before April 2026 gives you room to handle the unexpected.

What Happens if You Miss the Deadline?

HMRC's stated position is that businesses required to join MTD ITSA but who fail to do so will face penalties. HMRC has indicated it will take a proportionate approach to early enforcement, but the risk of financial penalties becomes real from 6 April 2026.

Missing the deadline also means operating without real-time visibility of your tax position throughout the year. Spreadsheets and annual tax returns do not provide that visibility.

Book a Security Triage Call

Selecting cloud accounting software is an accounts decision, but it also touches your identity management, data security, and IT governance. A Security Triage Call gives you a structured baseline assessment of your current IT environment against the NCSC's Cyber Essentials standards, covering the areas most likely to be impacted when you bring a new platform into your organisation.

Frequently Asked Questions

Do I have to switch accounting software if I am already using one?

You only need to switch if your current software is not HMRC-recognised for MTD ITSA. Most mainstream cloud platforms — Xero, QuickBooks Online, Sage Accounting, FreeAgent — are recognised. If you use a desktop product or spreadsheets, you will need either a recognised cloud platform or a bridging tool.

Can I use different software for self-employment and property income?

HMRC permits you to use separate products for different income streams. You can use one platform for your self-employment records and another for your property income. You cannot, however, use more than one product for each individual submission — one quarterly update per income type.

Will my accountant be able to handle MTD submissions for me?

Yes, once your chosen software is connected to HMRC's gateway, your agent can submit on your behalf. Some accounting practices include MTD management within their ongoing service fees; others charge separately for quarterly submissions.

Is there a free MTD-compatible option available?

Yes. FreeAgent is free for sole traders earning under £10,000 per year. Zoho Books offers a free tier for businesses with turnover up to £35,000. QuickFile also provides a free tier for smaller businesses with up to 1,000 transactions per year. Beyond these, most recognised platforms offer paid plans.

How do I verify that software is HMRC recognised?

Use HMRC's official software finder tool. All software listed there has been through HMRC's recognition process. HMRC does not recommend any particular product through this tool — it simply provides a filtered list based on your specific needs.
